Project Overview
Nexora is a 60-person B2B SaaS company that had been using Salesforce for three years but had never invested in a proper implementation. The org had accumulated years of technical debt: duplicate records, broken workflows, no Revenue Cloud setup, and virtually no adoption from the sales team, who continued to track deals in spreadsheets.
Intellectual Clouds was brought in to perform a complete rebuild—auditing the existing org, deduplicating 14,000+ records, redesigning the data architecture for SaaS metrics (MRR, ARR, Churn), and retraining the sales team from the ground up.

The Challenges
14,000+ Duplicate CRM Records
Years of uncleaned imports had flooded the org with duplicate Accounts and Contacts, making the database completely unreliable for forecasting.
No SaaS Metric Tracking
Salesforce had never been configured for MRR or ARR. Revenue was being tracked manually in a Google Sheet that only the CFO could update.
Zero Sales Team Adoption
Reps were logging only 12% of their actual activities in Salesforce. The rest lived in personal notes, email chains, and spreadsheets.
Broken Automation
Previous automations (Workflow Rules, Process Builder) were conflicting with each other, causing duplicate emails to customers and broken approval processes.

Our Solution
Mass Data Deduplication
Used Salesforce's Duplicate Management + custom Apex scripts to merge 14,000+ duplicate records based on domain matching and fuzzy name logic.
SaaS Revenue Architecture
Built a custom Revenue Schedule object linked to Opportunities, enabling automatic MRR, ARR, and Churn Rate calculation in native Salesforce reports.
Automation Rebuild in Flow
Deprecated all legacy Workflow Rules and Process Builders. Rebuilt 11 automations in modern Salesforce Flow with proper governor limit management.
Role-Based Training Program
Delivered 4 tailored training sessions (SDRs, AEs, CSMs, Management). Deployed Salesforce In-App Guidance for ongoing just-in-time coaching.
